LA-based, fast-growing, omni-channel supplement company is seeking a Tour Manager to drive our branded Sprinter crew van and manage our sampling activations at major events around the US.

This part-time contract position is an excellent fit for a personable, responsible, flexible touring professional who is excited about the opportunity of being on the road, managing a team, and representing a fun, smart, premium quality brand.

As our office is based in LA (Marina Del Rey), we would strongly prefer to hire someone who lives locally, but the position involves driving and flying all over the US.

MAJOR TASKS INCLUDE:

1) Driving.
Been doing it since you were 16, right? And nothing beats a cross-country road trip, right? Well, before you jump at the chance to see our beautiful nation while cruising down the highway blasting Taylor Swift, please be aware that you will be responsible for a large, expensive, somewhat unwieldy vehicle and its precious contents.

How large? Approximately 23 feet long, 6.5 feet wide, 9.5 feet tall. That means no indoor parking garages and no fast-food drive-throughs. It means strategizing to avoid parking challenges and using caution in tight spaces. It’s a bit like being in charge of a beautiful but clumsy Great Dane that could easily trample a chihuahua if you don’t keep him properly leashed. In other words, it’s a little bit fun, but mostly, it’s serious business.

And speaking of adorable, this is also a big bold branded vehicle, so when you drive it, there’s no flying under the radar. You are representing the SmartyPants brand at all times. This means using extra courtesy and caution when driving, never smoking anywhere in or near the vehicle, and of course being willing to pass out free samples of SmartyPants whenever someone may ask.

You’ll also be responsible for carefully packing and safely transporting our custom-made display items while you drive a total of approximately 12,300 miles by yourself.

2) Event Management.
You will travel to and manage SmartyPants’ activations at approximately 11 major events in 2017 from mid-May through early December, driving to most of them and flying to some.

The large majority of these events will be Expos and Finish Line Festivals in the Rock N Roll Marathon Series, of which SmartyPants is a major sponsor.

At each Expo, you’ll be responsible for loading in and setting up a 20x20 footprint that includes 4 sampling kiosks, 2 backwalls, and a bag toss game involving giant gummy vitamin bottles. At each Finish Line Festival, you’ll be loading in and setting up a 10x10 footprint with an outdoor tent and podium.

At each event, you’ll be ensuring that all product has arrived on time in the correct amounts and arranging product for display and sampling.

You’ll also be training and managing up to six local Brand Ambassadors at each event as well as sampling our products yourself. This means you’ll need to have a clear, detailed understanding of SmartyPants’ products and brand, and be able to communicate detailed information in a clear, accessible way.

- The skill to drive a large vehicle and the stamina to live alone on the road for days at a time. You don’t need to be a professional driver by any means, but some touring experience is preferred.

- The physical ability and the patience to lift, arrange, unpack, and repack large display items with no damage to the items (or others, or yourself)

This job would suit someone with brand activation or film or music production experience, who has worked in a fast-paced environment where thinking on your feet and improvisation are the key to success and an atypical schedule is the norm. Again, touring experience is a plus; the desire to be on the road is essential.

This is a part-time contract position. Your work schedule will be atypical. For example, you may work 10 days straight driving to and managing an event, and then have 2 weeks off before traveling to the next one. You are welcome to pick up other contract work during the off times, but when you are on the road and managing our events, this job should be your only job.

We pay a healthy day rate and per diem and cover all travel expenses and lodging.

Essential Responsibilities:

Assists with UP&E global, regional and executive events across all business segments, with events scale ranging from trade shows & exhibitions to intimate executive level meetings
Leads sourcing of third-party production vendors (lighting, staging, crew, sound engineers, producers, teleprompters, choreographers, hair/mark-up) as well as event logistics including but not limited to: locations, hotel blocks, catering, entertainment, giveaways, transportation, schedules, invites, attendee management and communication to ensure the event is successfully executed
Serves as event assistant on day of productions, ensuring high quality participant experience and staffing/managing the event appropriately. Examples of event staff include receptionists, ushers, photographers, security, etc.
Manages all legal documentation required of events, including vendor agreements, location agreements, NDAs, etc.
Develops and manages the run of show for all events, as well as production timelines for all assigned events; proactively and continuously manages updates to project trackers, project management tools, or other ad hoc reports
Manages and delivers events on or under budget. Negotiates favorable terms with vendors. Partners with Finance to manage respective assigned events budget, including budget planning, quarterly forecasting and pacing along with PO creation and invoicing
Keeps security of assets top of mind and guides team on usage and distribution
Leads review meetings per timelines for assigned events. Provides agenda points and keeps meetings on track and on time. Recaps meetings and next steps for key stakeholder alignment
Effectively communicates scope creep or delays in projects that could impact event quality, budget, or delivery timelines
Maintains an accurate definition of scope and timing for deliverables based on business priorities & event experience expectations
Manages approvals waterfall for all events, including executive-level approval moments
Builds relationships across the organization and with outside agencies to drive efficiency, productivity, and executional goals
Oversees inventory for event supplies in storage unit

Qualifications
