Job Duties/Responsibilities:

• Ensure that the front desk and phones are covered at all times by either yourself, Production Runners, or another operations staff members.
• Answer the phone and front door in a friendly manner and helping in whatever way you can.
• Make travel arrangements and create travel itineraries.
• Create detailed expense reports.
• Assist with new employee in-processing by tracking Datawatch access and distribute building access cards.
• Manage and track office seating assignments.
• Manage conference room and lounge calendars.
• Update office contact list.
• Serve as a liaison with building management for emergency procedures and communication.
• Greet auditions, giving them the proper paperwork, and notifying the appropriate person that they have arrived
• Office Planning: Thanksgiving, holidays, small scale events, seminars, etc.
• Check the mail and distributing in a timely manner
• Keep the office clean: keeping dishes out of kitchen sinks, running and emptying dishwashers, changing trash cans, organizing and carrying out monthly refrigerator cleans, wiping down counters, making sure that props are out of the way and not stored in the office for longer than a week, etc.
• Order and maintain office supplies: milk, coffee, craft services and other small office needs, snacks each afternoon and breakfast on the first day of each week by 9:00am
• Efficiently manage the calendar of the Chief Operating Officer: coordinate initial scheduling; follow up with confirmations and reminders; handle any rescheduling communication.
• Responsible for picking up lunches for partners and VPs, including the Development team when needed.
• Other duties as required.





Requirements
• Ability to process and assess requests independently; and when appropriate, initiate communication with supervisor to determine priorities to ensure that all deadlines are met.
• Multi-task, stay organized and on top of large volumes of correspondence and tasks.
• Strong interpersonal and communications skills. Must be able to perceive when an issue is sensitive and handle appropriately.
• Self-motivated and always thinking one step ahead.
• Knowledge of Word, Excel, Lexis Nexis, PowerPoint, and documents in the PDF format.
• Ability to use Skype and/or Google Hangout.
• Candidate must have the legal right to work in the United States.
• College degree preferred.
