The Administrative Assistant provides general office management support as well as support to the Executive Partners.
Essential Functions:
-Provide Front Desk support
-Answer and redirect phone calls and emails to the correct department or staff
-Receive and distribute mail, packages, and other deliveries.
-Greet clients and other office visitors; alerting appropriate staff that visitors have
arrived
-Coordinate conference room and office space schedules
-Drafts and distributes weekly RAPS emails
-Coordinating schedules for senior partners and providing all necessary meeting preparation and follow-up
-Assists with coordinating and scheduling meetings and preparing materials for
meetings for Development, Finance, Legal, and Production Management
-Assists with meeting setup, including Skype calls, conference call dial-ins, etc
-Takes notes in meetings and distributes to appropriate attendees
-Tracking expenses and reconciling credit card statements for partners
-Assists with completing purchase orders for various expenses and expense reports for senior staff
-Assists Operations team with management of social media accounts
-Books domestic and international travel for senior staff as needed
-Assists in compiling and distributing post cut schedules
-Supply room, kitchen, and office crafty organization, inventory, and ordering
-Assists Operations team with company events and screenings, including
ordering, setup, breakdown, and support during events
-Communicate with building supervisor for any floor needs
-Assist supervisors and producers on project based needs
-Runs errands as needed

Position Type/Expected Hours of Work:
This is a full-time position. Days and hours of work are Monday through Friday, 9:30
a.m. to 6 p.m. Occasional overtime and weekend hours as needed.
Travel:
Local travel to various worksites and for errands is required.
Required Education and Experience:
-High school diploma or equivalent
-Experience with Microsoft Office (Word, Excel and PowerPoint)
-At least 1 year of administrative experience
Preferred Education and Experience:
Previous Office Production Assistant experience
