Building Operations and Reception Coordinator

The Building Operations and Reception Coordinator oversees all office needs. Fun, lively production company looking for a multi-tasker who can track space, parking, crafty, office supplies and storage requirements. Need someone with a professional, friendly manner and “can-do” attitude who can sit at and run the front desk, along with a variety of other tasks, including space planning and handling building vendors. Will interact with people of all levels.

**Office is located in the LAX area**

Employee Tracking
• Manage, confirm, and track onboarding and offboarding and constant flow of employees each week for a population of 150-200 people
• Set up new employees with parking, badge access, safety plan, clean workstation, and supplies
• Greet new employees and run a 1st Day Orientation and tour
• Update facilities floorplan grid and maps weekly
• Track badges and fix any issues with specific key cards
• Open communication with several departments to ensure all employees are tracked properly

Facilities
• Submit building requests – heat, A/C, maintenance, janitorial, repairs, etc.
• Point person for all building and office needs
• Order office, kitchen, toner, and printer paper supplies
• Organize printer areas and conference rooms throughout the day

Parking
• Track, begin, and end employee parking and manage the spaces in multiple locations to ensure parking budget is accurate
• Track and maintain validation budget
• Maintain a working relationship with both parking structure managers

Reception
• Be the professional, friendly face of reception
• Meet and greet all visitors and handle calls to the main phone line
• Responsible for handling both outgoing and incoming mail and deliveries
• Manage the Office PA and Runner schedule; including any external requests from fellow office employees
• Coordinate all runs needed for each day

Storage
• Manage, organize, and track items in storage unit
• Ensure storage is kept clean, organized, safely secured and labeled properly

Safety
• Manage earthquake supplies for 15-200 employees
• Act as floor warden – oversee the safety team and emergency procedures
• Attend trainings regarding all types of office incidents/emergencies
• Be the direct contact for Building Security Team
