Job Summary:

The position of the Producer, Client Services at Memoir Agency, LLC is an important project management role. The Producer manages key client projects and events and may also supervise a team. The role includes a broad range of client work, including events, themed experiences, fabrication, content creation, and consulting. Management responsibilities include the coordination and completion of events and projects on time, within budget, and within scope.

The Producer oversees all aspects of projects assigned to them: sets deadlines, assigns responsibilities and monitors and summarizes the progress of a project. This individual also runs project meetings and prepares reports for upper management regarding the status of projects led by the Producer.

The Producer works directly with clients to ensure deliverables fall within the approved scope and budget. They are expected to coordinate with and organize individuals from other Memoir departments to ensure all aspects of each project are consistent with the goals of the client and the company. For example, when executing an event or project that requires built elements, the Producer will work closely with Memoir’s Build team. The Producer is expected to identify personnel requirements for her or his team, present recommendations to upper management, and when directed, to hire new talent as needed to fulfill client needs.

The Producer may collaborate with Memoir's Producer of Owned Events or other departments when projects warrant.

Key Responsibilities:
-Client Management
-Establish, maintain, and manage the relationship with the client and all stakeholders.
-Meet with clients on a regular basis to review, clarify, and discuss specific requirements of each project or event.

Financial Management:
-Prepare and review with Memoir leadership, project budgets, using Memoir’s systems and tools.
-Track project or event budgets and review material changes with Memoir leadership.
-Report and escalate to management any budget issues, as needed.

Project Management:
-Active on-site project management.
-Field communication between vendors, client(s), and staff.
-Coordinate internal resources and third parties/vendors for the flawless execution of client events and projects.
-Ensure that all projects are delivered on-time, within scope and within budget.
-Assist in the definition of project scope and objectives, involving all relevant stakeholders and ensuring technical feasibility.
-Ensure resource availability and allocation as needed throughout the duration of the project or event.
-Manage changes to the project or event scope, project schedule and forecast costs using Memoir’s systems and tools.
-Perform risk management to minimize project risks.
-Develop and track comprehensive project schedules, using Memoir’s systems, to be shared with clients as well as other staff members who have project responsibility.
-Report and escalate to management any project issues or newsworthy items, as needed.
-Create and maintain comprehensive project documentation in accordance with Memoir’s practices.
-Track project performance, specifically to analyze the successful completion of short and long-term goals using Memoir’s systems and tools.

As needed, to produce or assist in producing cross-departmentally when workload allows.
Identifying vendors and hiring staff for projects.


Work Hours:

Memoir operates with a hybrid office schedule, currently requiring Tuesday and Thursday presence in the Memoir office. This is subject to change at the discretion of the company.
Work hours are Monday through Friday, 8:30AM to 5:30PM. This role requires flexibility to adjust work hours and days, depending on project workflow and requirements of projects managed by the Producer. The Producer should expect some work will be required on weekends or holidays.

Qualifications & Skills:

-Proven working experience in project and major event management.

Education and Experience
Memoir prefers:
-Post-High School degree in Event Management, Hospitality, Business Administration, or a related field. Bachelor’s -Degree is preferred.
-At least 5 years of experience in event production, with a proven track record of successful events.
-Strong leadership skills and the ability to manage multiple projects and reports simultaneously.
-Proficiency in relevant (event or project planning, budgeting, scheduling) software and technology.
-Experience managing budgets.
-An adaptable, and team-oriented mindset, with the ability to work under pressure and meet tight deadlines.
