The Assets Production Assistant is responsible for helping with day to day tasks and assisting in running the LAL Asset Department. This role works closely with the Front-End Production Manager and the LAL Assets team to facilitate tasks, distribute schedules and process documentation to the internal and external asset teams, as well as sending, receiving, and maintaining notes and files in the production database.
This role is based in San Francisco in a hybrid on-site and remote-work capacity. The Assets PA would be expected to be local on-site 2-3 days a week, depending on current hybrid workflow practices (but would have the option of being on-site up to 5 days a week if they choose). Once accepted to the position, the Assets PA would be expected to be local to the San Francisco Bay Area within 90 days.
What you'll do: - Creates and curates asset dailies submissions into playlists for review. Submits playlists to meeting attendees and sets up review rooms (and/or virtual review rooms).
- Attends asset dailies to generate notes and keep track of requests and questions for external vendors. Compiles dailies notes from the LAL Assets team along with tracking documents to submit at the end of each day.
- Maintains Asset Final Publish packages and tracking logs, and sends receipts back to external vendors as needed.
- Responds and assists with correspondence to external vendor *** when needed for asset modification requests, final publishes, and other questions.
- Assists the Production Manager in updating and maintaining proxy delivery lists and internal tasks for proxy work and story rig deliveries.
- Assists in maintaining and updating internal tracking documents and task lists for the various Assets department needs.
- Communicates with the Story Dept to ensure that assets requests are logged and tracked.
- Assists the Production Manager in communicating across departments to make sure show needs and request are met
- Attends weekly meetings with external vendor *** and assists the Production Manager with notes and follow-up action items.
- Attends Episodic Asset kickoff meetings. Generates and distributes notes accordingly.
- Attends Story Department setup meetings and assists with notes and follow-up tasks.
- Assists the Production Manager with various tasks and upkeep work as needed.
- Assists the Assets Director with daily task lists and scheduling meetings as needed.
What you'll need:- Strong organizational, time management and project management skills.

- Good analytical, problem-solving and troubleshooting skills.

- Ability to establish priorities and multi-task efficiently within a high-pressure environment while meeting
- strict deadlines.
- Requires excellent administrative skills with strong working knowledge of Word and Excel.
- 1+ years of experience in Production, preferably in Animation.
- Project Management software experience is a plus
- Bachelor's Degree in film, art, theater, communications or related field, preferred.
