Summary

The Production Coordinator will be responsible for the coordination of production logistics as they relate to NFL Media. This seasonal position will support the Production Management Department and Studio, Remote, Digital, Social, Original, and Features productions.

Essential Functions

Work directly with Production Managers to maintain and track production budgets.
Coordinate logistics, including but not limited to crew needs and bookings, securing locations, handling appearance and location releases, securing permits, setting up catering, props.
Generate various production documents, including daily Call Sheets.
Work with vendors to secure bids as well as process and track all Purchase Order and Invoices.
Responsible for entering data into budgeting system and interacting with vendors regarding payments.
Assist with craft service needs, maintaining orders, scheduling, restocking areas as needed.
Work closely with the following departments: Special Events, Scheduling, Travel, Operations, Accounts Payable, Finance, Human Resources.
Support the Production Management and Accounting teams with various office and administrative responsibilities.
Collaborates with Operations and Production teams to ensure production assets have been secured for all programs.
Work closely with Business Affairs to ensure that each production is complying with network requirements, as needed.
Work closely with Vendor Management team to ensure outside vendors are onboarded.
Additional duties as assigned.

Required Education and Experience

2+ years of experience in studio and/or field production.
Ability to handle multiple projects in a fast-paced environment.
Excellent organization and communication skills, along with strong time management abilities.
Proficient in MS office products such as: Outlook, Excel, Word, PowerPoint.

Preferred Education and Experience

A Bachelor’s degree is preferred in communications or communications areas.
Knowledge of ScheduALL and FileMaker Pro is a plus.

Primary Responsibilities:

Research local production guidelines for compliance
Arrange resources and logistical support as necessary for production

Follow-up to ensure that Start Paperwork is completed in advance of work
Follow-up to ensure that Timecards are submitted in a timely manner
Maintain and update departmental contact, vendor, and resource lists.
Initiate Purchase Orders for expenses
Track and report expenses, code & process invoices, and reconcile PCards.
Maintain various departmental shoot calendars, spreadsheets, reports, and documents.
Archive production documents such as call sheets, wrap reports, and releases, and follow-up as necessary with production teams to ensure business requirements are being met and delivered in a timely manner.

Desired Skills and Qualifications:

Minimum of 2 years of relevant Production Management experience in the television, media, or digital video production realm required

In-depth understanding of payroll practices and labor laws.

DUTIES:

Administer weekly Production Dept. staff and facilities scheduling. Includes scheduling IATSE Stagecraft, Director, AD and Material Management staff. Update schedules daily as required and digitally generate and post via Microsoft Teams.

Supervise all aspects of daily Makeup services and operations. Supervise News anchor makeup services schedule. Monitor News anchor cosmetics inventory, and generate weekly orders and deliveries as required.

Provide daily administrative support as required to the Production Manager and Director of Production.

REQUIREMENTS:

Bachelor's degree in film, television, communications, marketing, management, or related field
Must have experience in live television, scheduling, production, or related field, preferably Production Coordinator experience.
Internship experience at television stations or production companies are an asset.
Must be extremely proficient in administrative tasks and on a PC - Microsoft Excel, Outlook, Word and OneDrive are musts.

The group is an integral team across the manufacturing cycle, overseeing the production of thousands of titles annually.
