The Role:
The ViacomCBS Short Form and Digital Production Group is seeking freelance Production Coordinators in Los Angeles for upcoming project-based opportunities. Applicants must have adequate production experience and should be motivated, quick thinking, flexible, and detail oriented. The Production Coordinator will work closely with line producers and production managers to ensure that productions are fully supported and organized throughout pre-production, production, and wrap. Candidates must be able to juggle multiple responsibilities and projects with a focus on organization and attention to detail. The Production Coordinator must also be flexible and capable of adapting to shifting priorities and deadlines. This is a demanding and fast paced production environment requiring proactive and positive thinking. Candidates must be a continuous promoter and supporter of diversity, inclusion, and equity in the workplace.
Job Responsibilities:
• Support the SFPG group at large as well as LPs and PMs on assigned projects.
• Manage and distribute call sheets, calendars, shoot schedules
• Facilitate video conference calls, arrange meetings, guest lists for security, etc.
• Work as production coordinator on-set in studio and on location
• Contact and hold freelance crew for shoots, communicates rates per PM or LP
• Contract routing: location agreements, guest releases, and contracts
• Coordinates travel logistics with Viacom travel department
• Coordinates and schedules COVID testing with crew members and testing vendors
• Assists with crew and talent communications including equipment pickups and drop-offs, talent transportation, and PA schedules
• Facilitates vendor setup within ARIBA system and submit/confirm POs and invoices
• Helps track cost reporting departmental cost tracker
• Prepares and process paperwork including payroll for crew, talent, and freelancers
• Assists in actualizing of budgets (PO logs, crew payroll logs, PC logs, etc.)
• Prepares T&E reconciliations for p-cards and corporate cards
• Fields inquiries from vendors regarding invoices, payments, and/or vendor setup
• Maintains documentation on team’s shared drive and in Wrike (project management program)
• Fulfills other duties and tasks as requested by the project lead or supervisor
• Assist with building the Pre-Pro Book
Qualifications:
• BA/BS degree preferred
• Ability to work in a high-pressure and fast-paced environment
• Strong analytical and problem-solving skills
• Professional, self-motivated, results-oriented with a “can do” attitude
• Must be able to travel, mainly domestically
• 2 Years + production management experience, preferably with some on-set experience
• Able to respond and work after business hours on productions and/or attend to urgent and timely issues
• Maintain confidential information
• Inquisitive and willing to continue learning
• Strong written and verbal communication skills
• Proficiency in MS Office, and become proficient with OneDrive, Google Applications, Showbiz Budgeting, ARIBA, Concur, etc.

The Short Form and Digital Production Group is an internal production team focused on providing comprehensive production management and post-production services to brand creative and marketing groups across ViacomCBS. SFDGP specializes in producing a wide variety of content including promos, image campaigns, still photography (key art, gallery, press), digital series, linear extension, tentpole events, social, behind the scenes, integrated marketing, show opens, corporate, and consumer product marketing.
