Location: LA based or able to work as a local primarily for prep. During production a lot of travel will be involved. We are currently working remotely but at some point working from our offices will be important. Not a deal breaker but must be the right role.

Job Duties:
Manage calendars and scheduling.
Organize off-site productions. Previous experience with permitting.
Help manage production assistants and direct their daily activities.
Liaison between hotels and local production staff.
Collaborate with production to meet the needs of the cast and crew.
Skilled with excel grids, PC/ Pcard reporting and tracking as well as accounting procedures.
Must be highly organized, proactive, able to juggle multiple tasks, a scheduling wiz and a great communicator. An openness to learn and willingness to work in a collaborative way within a department and with other departments is essential.
Ideal candidates should feel comfortable working on a set with a large crew and logistically difficult situations. Must be a good problem solver and communicator.

Our team will be filming the event to produce stock footage style archival content and post-produce a Highlight Sizzle along with additional marketing content. You will be working to help manage logistics for a crew of 12-15.

Applicant should be capable of facilitating great communication and a seamless workflow between the Event Producer, Creative Producer, Lead Editor and crew. You will need to manage production documents via our shared google drive and revise/deliver production schedules, post-production schedules, short briefs for crew (text/email) and call sheets. PC will also need to order team lunches and coordinate pick-ups/drop offs with our driver.

Teams will be on a 12hr day but likely wrap in 8-10. There will be plenty of breaks and downtime.

The Production Coordinator's primary emphasis is on scheduling, communication and coordination for a specific group (discipline) of artists (or multiple groups) on any given project. This position reports to Project ("Show") Producer and Production Manager, while also working with other Coordinators on the project in keeping the show operating in an organized and efficient manner. Coordinators are also responsible for working with and delegating to the project Production Assistants. Each Coordinator usually works closely with their specific group of artists' Supervisor or Lead in crewing, scheduling, and managing that group's body of work. What You'll Do

Work closely with your discipline supervisors in crewing, casting and scheduling your discipline's body of work, keeping in mind the overall show schedule, client reviews, bids, and other discipline needs.
Establish a process for communicating discipline targets, assignments, and priorities to your artist crew, as well as the overall show crew. This should be daily and/or weekly.
Schedule, track, and manage assigned work within the ILM Internal Tracking Tool as well working with Production Managers to display the information in a physical form (magnet boards / conference rooms) in order to be visible to the team.
Ensure work is on schedule for each department and is meeting internal and external (client) deadlines. Check in with artists on a regular basis regarding workload, targets, needs, etc
Set up turnovers with discipline crew. Communicate turnover information to all artists assigned to asset(s) or shot(s).
Track client needs, reviews and deliveries to make sure your discipline hits their targets.
Serve as key communication liaison *** ween all parties relevant to your work. Provide updates, priorities, reschedules, and status of all shots at any given moment.
Anticipate and communicate issues to to reach solutions in a timely manner.
Supervise, delegate to, and train assigned Production Assistant(s).

DUTIES:

Administer weekly Production Dept. staff and facilities scheduling. Includes scheduling IATSE Stagecraft, Director, AD and Material Management staff. Update schedules daily as required and digitally generate and post via Microsoft Teams.

Administer production staff scheduling on Special Event productions including Rose Parade, Oscars, Emmys, CCA, LA Marathon, WeHo Pride Parade, Telethons and more.
Organize and update Production Dept. financial retention files including all vendor invoices and P-Card transactions.

Process COI and Insurance Endorsement requests from Production Dept. vendors and business partners.

Onboard new hires. Provide instruction on Workday and Microsoft Teams, assist with Human Resources paperwork, coordinate Employee ID, Microsoft login, Security badge, etc.

Special Events production archives. Document and organize digital video assets for Rose Parade, Oscars, CCA, Emmys, LA Marathon, WeHo Pride Parade, and other Special Event productions.

Production studio operations and office supplies inventory. Track inventory and order studio production operations and maintenance supplies monthly. Manage shipping and receiving logistics.

REQUIREMENTS:

Bachelor's degree in film, television, communications, marketing, management, or related field
Must have experience in live television, scheduling, production, or related field, preferably Production Coordinator experience.
Internship experience at television stations or production companies are an asset.
Must be extremely proficient in administrative tasks and on a PC - Microsoft Excel, Outlook, Word and OneDrive are musts.
Ability to multitask in a fast-paced work environment. Attention to detail and ability to rapidly prioritize daily tasks and administrative responsibilities.
