Reports to: Head of Operations
FLSA Status: Exempt
Supervisory Responsibility: Significant vendor and crew interfacing and oversight

Overview: Gravity Media is looking for a highly collaborative, highly organized Production Manager (PM) who can lead each project’s lifecycle, which is from client inquiry through to invoicing and onto to lessons learned and the project close.

Attention to detail, technology fluency and abundant flexibility are expected from the Production Manager. The PM’s work will be prioritized and guided by: maximizing client satisfaction, ensuring the health and welfare of our crew and achieving maximum profitability for each project.

Position Summary: Work closely with Sales, Production, Engineering, vendors, and the rest of the resources within Gravity Media’s ecosystem to coordinate and prepare projects that will be run from Los Angeles. This is an office-based role, and the PM will be expected to work normal business hours, however, this position will be required to respond to critical situations outside of normal work hours as they arise. Depending on the scope of the show, the PM may be required to attend a remote event and attend to the needs of the show. The position is based in the Los Angeles area office.

Essential Duties:
Administrative
- RFP responses & Pre-quotation preparations
o Working with Sales and Engineering, assist with assessing and understanding the client’s technical and operational requirements.
o Working with Production and Engineering departments, develop a cost basis for each project based on the client’s requirements to ensure that RFP’s are answered accurately.
o Prioritize profitability of each project.
- Accurately prepare (or assist in preparing) quotations for submission to clients.
- Post quotation responsibilities:
o Working with Sales, Production, Engineering, and Operations. Assess and coordinate the non-technical resource requirements needed for each project. This includes crew assignments, freelance crew requirements, logistics, outside equipment rentals, travel and each project’s cash and capital needs.
- Project Execution
o Liaising with account manager/Sales department, the Client, venues, suppliers and crew to ensure correct facilities are supplied for each event.
o Book crews, coordinate agreements, crew travel and cash needs.
o Produce written documentation with regard to event information to be supplied to Client and crew including Tech Books or Production Manuals.

o Track and maintain organized files of all client agreements, freelance crew agreements, quotations, purchase orders, change orders, including budget management, and all other pertinent paperwork for projects
o Liaise with suppliers to ensure accuracy in costing for all quotations and as may be required
o Capture, memorialize and communicate any changes in the client’s needs for later billing.

Technical
- Coordinate mobile units, production gear, freelance crews and ensure on-site facilities like power, internet and telephone exist for the projects on site.
- Co-ordination of shipping, along with the Engineer in Charge and Operations Department.
- Escalate issues as they occur with any appropriate parties who may be affected or need to know. This includes collaboration with local and foreign managers and departments such as; HR, Legal, IT and Finance.
- Actively coordinate safety requirements for each project to ensure the prompt response to emergency situations, including medical emergencies and the well-being of staff.
- Any other duties as assigned by management.

Qualifications:
- 5 years of experience in a Production Manager dealing with live events, sports, and extended duration event or similar role
- 5 years of experience with intricate scheduling of multiple assets/events
- 2-3 years of experience with accounting responsibilities
- Proficient with Production Manager Tools (i.e. Microsoft Office tools, Google Suite, etc.)
- Must have excellent problem solving, critical thinking, and organizational, communication and interpersonal skills
- Strong client relations and interfacing skills
- Ability to respond and work during nights, holidays or weekends will be required
- Occasional travel may be required
- Written and verbal communication proficiency
- Strong organizational skills

Physical Requirements:
- Ability to sit, reach outward or above the shoulder, stand, walk, handle with fingers, stand, bend, and stoop.
- Ability to operate a keyboard, view a video display terminal screen, ability to use telephone equipment.
- Ability to lift up to 20 pounds and push or pull up to 25 pounds.
