The Executive Assistant should demonstrate strong interpersonal skills with the ability to anticipate needs, take initiative, prioritize, meet deadlines, and be resourceful and flexible, while maintaining absolute professionalism and confidentiality. It goes without saying that there will be expense reports, travel planning, hundreds of phone messages, and endless calendar jockeying, but this job is very much about people. The relationship you form with the executive you support is absolutely critical, because that's what enables you to become a true partner. In addition to understanding your executive's business needs, you will also need to understand the leadership and workings of *** Parks, Experiences and Products and of related departments across the *** enterprise. As the "face" of your executive within *** , your professionalism, loyalty and attitude are a reflection of the office, and as such, are a key component to its success.
This role will support a Portfolio Executive Producer and a Portfolio Executive Creative Director for the Tokyo *** land Resort projects.
What You Will Do- Manage schedules and coordinate meetings that often necessitate partnering with multiple other executive calendars
- Greet guests and assist with special projects relating to guests/visitors
- Screen and prioritize all incoming phone calls, mail and/or meeting requests
- Create meeting agendas and circulate meeting materials
- Coordinate both on-site and off-site workshops, events and demos, including internal and external partners, vendors, and collaborators
- Plan travel itineraries and make travel arrangements, including reservations for events and dining as needed
- Prepare, compile and manage expense reports for travel following established company and travel policy guidelines
- Assist with general department tasks, including conference room requests, ordering supplies, coordinating general maintenance and upgrades for office equipment, phones, computers, etc.
- Partner and work extensively with internal departments and external vendors to provide and/or receive necessary information, materials, approvals, updates, etc.
Required Qualifications & Skills- At least 3 years of administrative experience supporting executives in a fast-paced, and constantly changing corporate environment or equivalent experience
- Fluency in both Japanese and English languages and demonstrates a strong understanding of the Japanese culture
- Strong written and verbal communication and interpersonal skills.
- Ability to successfully interact with a wide range of Imagineers, senior executives, vendors and universities
- Excellent computer proficiency - expert Outlook user, strong proficiency across Microsoft Office, Zoom, Teams and Slack
- Desire and ability to build strong relationships across *** , with peers, executives
- Experience supporting a dynamic and fast-paced department or team
- Excellent organizational skills and attention to detail with the ability to prioritize work and handle multiple tasks with set deadlines
- Experience exercising good judgment and discretion while maintaining confidentiality of information and documents
- Flexibility to work overtime as needed in urgent situations
Preferred Qualifications- Experience within *** or experiences supporting executives in an entrepreneurial technology organization
- 5 years of administrative experience supporting executives
- Familiarity with Keynote and/or Microsoft Suite
- Experience with SAP and Concur
Education- Required: High school diploma
- Preferred: BA/BS or equivalent preferred
The hiring range for this position in Glendale, California is $52,400.00 to $70,200.00 per year based on a 40 hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate's geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
