This Executive Assistant role in *** Ad Sales provides key administrative and sales support to a group of Executive Leaders and is the acting Office Manager for our Chicago, Illinois Office. This role is responsible for day-to-day coordination of internal and external events for the office, including scheduling conference room meetings, booking varying travel arrangements, and overall cross-department collaboration within *** Ad Sales to help facilitate fulfillment of departmental needs related to but not limited to marketing, ticketing, sales communications and purchasing. Additional support can involve ticket allocations, designing/editing sales materials, processing expenses and IT troubleshooting.
What You Will Do- Thoughtfully handle complex calendars and protect the Executive's time through strategic and proactive calendar management
- Understand the day's priorities so you can be thoughtful about how you direct phone calls
- Be ready to throw the entire schedule out the door when an emergency comes up, then pick it up again when the dust settles
- Schedule conference rooms, meetings and video calls
- Act as "casual buyer" for the department for all office supplies
- Manage purchase orders and vendor contract processing
- Process expense reports, renew memberships & subscriptions and work on ticket requests for shows
- Prepare regular reports and summaries for distribution -- you'll have tasks that you "own" completely
- Assist with on-boarding new employees - you'll be the "friendly face" that newbies count on to answer all their questions, including many who are quite senior in the organization;
- Plan events like off-sites as well as smaller-scale gatherings such as ser *** recognition parties
- Partner with all executive support professionals within the segment to ensure smooth, effective & accurate communication to the broader team
- Welcome visitors into regional office by creating a warm friendly environment
- Maintain inventory (general supplies, paper, toner, etc.) and ensure kitchen and supply areas are stocked, clean and functional
- Serve as a strategic liaison *** ween regional office and *** Headquarter offices
Required Qualifications & Skills- At least 3 years of providing administrative assistant support at the Director or above level and/or equivalent experience
- Proven ability to credit and edit PowerPoint presentations
- Prior experience providing office management support
- Strong written and verbal communication skills
- Ability balance multiple items and prioritize deadlines/deliverables
- Proficiency with all types of computers, phones and office equipment
- Complete reliability handling confidential information
- Desire to go above and beyond without being asked and a desire to learn
- Strong organizational skills and attention to detail
- A professional demeanor, positive outlook and a can-do attitude
- Experience working in a matrixed environment
Preferred Qualifications- Microsoft Excel experience working with formulas and data tracking
- Ad Sales experience and/or exposure
Education- Required: High School degree and/or equivalent experience
- Preferred: Bachelor's degree

The hiring range for this position in Chicago, IL is $60,400 to $80,900 per year based on a 40 hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate's geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
