A fast-paced video production agency working with the most exciting technology companies in the bay area is currently seeking a Part-time Administrative Assistant three full days a week to support numerous accounting, data entry and filing functions at our Burlingame, CA location. There is possibility for full time work in the future.
This job will be in a fun environment with creative and tech people who are always exploring new ways of telling a story about the latest apps and hardware launched. You will also be supporting the creation of television shows.
As an administrative assistant in a boutique agency, you're an important part of the day-to-day operations of the team. You help resolve operational and administrative issues. You move quickly with the changing environment. You are organized and analytical, with strong business judgment and communication skills.
Specific duties that may be assigned to you include financial data entry, financial report preparations, vendor & client correspondence, travel arrangements and office organization. All work will be done in person or via phone and e-mail. Google Apps, Open Office and Quickbooks Online are some of the softwares you will use.
Basic administrative responsibilities will also include faxing, filing, photocopying, managing incoming and outgoing mail, and creating letters. The position involves daily interaction with other office personnel, clients, contractors, sales representatives and customers.
Data entry using Quickbooks Accounting software
Client billing and time tracking
Vendor payment processing
Filing of invoices, receipts, PO's
Travel arrangements for staff, vendors and clients
Direct assistance with the CEO in other finance, administrative, marketing, client service and operations tasks, as needed
Requirements & Qualifications
Highly organized. Strong multi-tasking and time-management skills
Tech savvy; a knack for learning new software or hardware quickly
Can handle sensitive information with the highest degree of integrity and confidentiality
Previous administrative / accounting experience in a similar environment preferred
Proficiency in the Mac computer platform, Google Apps, Open Office and Quickbooks Online
Over 2 years of corporate administrative experience preferred
Advanced language communication skills in speaking, writing and understanding English
