Your New Role...

Your Role Accountabilities...

Personal Assistant

• Diary Management for the Head of Wall to Wall West, the Director of Programmes & the Creative Director of Twenty Twenty. Booking/confirming meetings. Booking weekly domestic travel. Organise any international travel and accommodation, providing itineraries when applicable.

Finance and Just Produce

• Expenses, petty cash and monthly credit card reconciliations for Wall to Wall West and Twenty Twenty productions and team members who have left the business.
• Raise PO's for invoices.

Assistant to Wall to Wall West and Twenty Twenty Productions

Development and pre-production:

• Help organise recces, book travel and accommodation and manage finances of a production in development and pre-production until a cost manager has been set up
• Help organise Legal & Business Affairs, Accounts and Post-production set up meetings for all new Wall to Wall West/ Twenty Twenty productions
• Set up an informal meeting with new Wall to Wall West/ Twenty Twenty productions re: Deliverables
• Organise a meeting with Wall to Wall West/ Twenty Twenty Production Management before and towards the end of post-production to ensure all deliverables both to broadcaster and Wall to Wall/Twenty Twenty have been completed
• Organise TX Cards for all Wall to Wall West and Twenty Twenty productions, liaising with the London team where necessary to ensure these are signed off
• Work with productions to ensure everyone on the TX notification list are contacted to notify of confirmed TX
• Working with the London PTA Team on the long-term archiving, retrieval and destruction of files of rushes and long term storage of Production folders (signed releases, location agreements, contracts)
• Working with the London PTA team to maintain a back catalogue of all historic Wall to Wall West and Twenty Twenty programmes for future reference
• Booking out tapes/LTO from archive
• Additional drive - Make sure Films make up an additional drive containing the Deliverables of final episodes. This should be a Wall to Wall Bristol Drive that remains in the office for further reference.

New staff:

• Assisting the Production Managers welcome new Wall to Wall West/twenty Twenty staff - including email signatures, completing relevant new starter forms, passport scans and preparing desks, enrolling all new starters on to the compulsory Health and Safety training courses, sending them log in details and ensuring the course has been completed.Work with the London Talent Team to manage work experience placements in the Bristol office
• Liaising with the London Talent Team to enrol Twenty Twenty new starters into the buddy scheme
• Organising building passes and any additional required passes
• Welcoming new starters and giving them an office tour including letting them know fire exits, drills etc,
• Coordinating with the London team, and relevant Awarding body to submit both companies for awards throughout the year, collecting, organising and submitting all necessary clips and paperwork

General office duties:

• Acting as a point of contact for general enquiries and viewer queries for Wall to Wall West and Twenty Twenty, dealing with them or passing on to the relevant person in an efficient manner.
• Checking Twenty Twenty leavers inbox on regular basis and responding/forwarding all queries
• Receiving visitors for key production personnel; including providing refreshments for internal meetings and booking meeting rooms when required
• Overseeing office equipment and maintenance, liaising with either the landlord or the London IT help desk when necessary
• Overseeing the office seating plan, coordinating with new teams where they will be sat in the office
• Maintain up to date Bristol contacts list and Wall to Wall Bristol email group - adding/removing any new starters and leavers
• Coordinating the day to day management of suppliers, building maintenance, weekly maintenance checks by Mitie. Keeping track of jobs logged via *** and making sure these are completed.
• Assuming responsibility for keeping a tidy office; encouraging production storage and wrap up, liaising with Facilities and IT where applicable.
• Coordinate buying any office furniture, pictures and general dcor,
• Overseeing any internal and external props storage, including our storage container at Safe Store, Bedminster ensuring a storage inventory is kept up to date.
• Independently organising & overseeing all company events both internal and external including the Christmas party
• Oversee the safe-keeping and inventory of equipment including cameras, drives H&S equipment, IT equipment, etc held in the office for Wall to Wall West/Twenty Twenty.
• Responsible for booking equipment and drives for Wall to Wall West/Twenty Twenty and keeping an up to date record on who received them and ensuring the safe and timely return of all equipment
• Ensure all laptops are properly logged in and out - who is using them and on what production. Ensure safe return of laptops to London in bullk
• Manage a drive log for Wall to Wall West/twenty Twenty - which drives contain material to be saved and which can be reformatted for re-use on other productions
• Book conference calls and set up online calls
• Update Twenty Twenty Productions Limited's website
• Assist with maintaining a social *** presence on Twenty Twenty's Twitter & Instagram
• Book couriers/taxis/travel as requested
• Update the Quikbase database with status and details of Twenty Twenty productions and key developments
• Ensure stationery and printer materials (paper, toner, ink) are kept stocked

Qualifications & Experience...

• Previous experience in a Television Production environment
• Excellent written and verbal communication skills
• Computer literate with ability to use diary management tools
• Excellent phone manner with ability to communicate clearly and confidently with all staff
• Highly organised, pragmatic and reliable
• Efficient administrator, responding to any requests quickly
• Ability to use initiative and work independently to find solutions and answer queries
• Excellent attention to detail
• Ability to work in a pressurised environment, managing a number of tasks/people simultaneously and prioritise accordingly
• Ability to handle sensitive information in the required confidential manner
• Flexible approach and outlook, comfortable with managing workload and deadlines that may involve some occasional late working and occasional working away from the office

Job Summary:

Position Summary

This role is considered Hybrid, which means the employee will work 2-3 days onsite at a Company designated location and occasionally from home.

The Technical Assistant I (TA) provides front line rendering and data management support for ILM VFX Production teams and the facility. TAs also manage storage by wrangling data through archiving, remove data and follow resource management best practices. The TA team ensures full utilization of the render farm during their shift and communicates as technical issues affecting the throughput the farm arise.

What You'll Do

• Prioritize overnight renders; Coordinate processor allocations with Core Pipeline & Show Production teams; Balance processor demands within show, *** ween shows, and as a share of facility pool.
• Report issues with frames post render to the digital artists and CG Supervisors and work to find a solution
• Work to ensure full resource utilization during the night. Manipulate priorities to ensure that renders are completed by next business day. Report any machine problems or general issues that hinder the completion of renders to the appropriate department.
• Monitor disk usage for the facility, with a particular focus on individual shows, and on a shot-by-shot basis within those shows. Coordinate show storage needs on a long-term basis with Digital Resource Manager.
• Work with the Digital Resource Manager, CG Supervisors and Core Pipeline team to ensure show follows proper data management procedures.
• Prioritize, manage, and maintain archive of show data, including creation of archival backups for shows, maintenance of archive database, storage and retrieval of physical *** for recent show archives. Fulfill all data restoration requests, including archival research to locate requested data.
• Maintain and update department tools. Work closely with Core Pipeline to ensure that code is clean and well maintained.
• Participate in development projects; write production and pipeline scripts as required to assist ongoing technology efforts.

What We're Looking For

• Bachelor's degree in Computer Science, Film Production or equivalent degree
• 1-2 years relevant work experience
• Proven knowledge of and experience with Linux, Mac and Windows operating systems
• Excellent verbal and written communication skills required. Strong interpersonal skills and the ability to effectively interact with diverse personalities
• Strong time management skills; Ability to multi-task and prioritize
• Aesthetic eye and/or artistic background highly desired
• Familiarity with film and video post-production and/or computer graphics techniques highly desired
• Proven ability to work autonomously and in team settings

• Ability to adapt to a high pressure, fast-paced, dynamic environment

The hiring range for this position in Vancouver is C$46,200 to C$59,100 per year based on a 40-hour work week. The amount of hours scheduled per week may vary based on business needs. As we grow ILM Sydney, we are seeking a Production Coordinator to join the team and be a part of this exciting opportunity.

The Production Coordinator's primary emphasis is on scheduling, communication and coordination for a specific group (discipline) of artists (or multiple groups) on any given project. This position reports to Project ("Show") Producer and Production Manager, while also working with other Coordinators on the project in keeping the show operating in an organized and efficient manner. Coordinators are also responsible for working with and delegating to the project Production Assistants. Each Coordinator usually works closely with their specific group of artists' Supervisor or Lead in crewing, scheduling, and managing that group's body of work. Coordinators are significant points of information on the show and need to be able to balance multiple needs, projects, and tasks at one time.

Primary Responsibilities

• Work closely with your discipline supervisors and/or leads in crewing, casting and scheduling your discipline's body of work, keeping in mind the overall show schedule, client reviews, bids, and other discipline needs.
• Establish a process for communicating discipline targets, assignments, and priorities to your artist crew, as well as the overall show crew. This should be daily and/or weekly.
• Schedule, track, and manage assigned work within the ILM Internal Tracking Tool as well working with Production Managers to display the information in a physical form (magnet boards / conference rooms) in order to be visible to the team.
• Ensure work is on schedule for each department and is meeting internal and external (client) deadlines. Check in with artists on a regular basis regarding workload, targets, needs, etc
• Set up turnovers with discipline crew. Communicate turnover information to all artists assigned to asset(s) or shot(s).
• Track client needs, reviews and deliveries to make sure your discipline hits their targets.
• Serve as key communication liaison *** ween all parties relevant to your work. Provide updates, priorities, reschedules, and status of all shots at any given moment.
• Anticipate and communicate issues to leadership team(s) to reach solutions in a timely manner.
• Supervise, delegate to, and train assigned Production Assistant(s).
• Act as primary point person for organizing dailies/shot reviews throughout the day on behalf of your discipline Supe/Lead. Take notes regarding feedback and decisions made and enter any required information into the Internal Tracking System/communicate to all so as to provide updates to all others impacted.
• Prioritization and escalation of technical support issues.
• Perform special projects as needed.
• Communicates with all parties on the project, from Supervisors to Production leadership and peers, to artists.

Education / Experience

• Three years work experience in production to include strong working knowledge of post production techniques and terminology.

Required Skills / Competencies

• Proficiency in Macs/PCs including Microsoft Word and Excel. Knowledge of UNIX and familiarity with Google Suite is preferred.
• Must possess very strong organizational and communication skills and be able to handle a variety of tasks in an efficient manner while meeting deadlines.
