Assistant Production Office Coordinator
Job Description
Digital Video Production Company based in Lower Manhattan (NYC) is seeking a Production Office Coordinator. Candidate must be available to start immediately. Ideal Candidate should be pursuing a career in Production Management.
PRIMARY RESPONSIBILITIES:
Maintain and update departmental crew lists
Initiate Payroll Paperwork to Freelance Crew and DayPlayers
Follow-up to ensure that Start Paperwork is completed in advance of work
Review Start Paperwork for accuracy and submit to Payroll Company
Follow-up to ensure that Timecards are submitted in a timely manner
Maintain and update departmental contact, vendor, and resource lists.
Establish new Vendor accounts and provide instructions regarding invoicing process, policies, technical specs, etc.
Originate Vendor Contracts and Purchase Orders
Organize and manage purchase orders, invoices, and T&E.
Follow-up on outstanding invoices and organize year end accruals
Track and report expenditures, process invoices, and reconcile PCards.
Maintain various departmental shoot calendars, spreadsheets, reports, and documents.
Archive production documents and follow-up as necessary with production teams to ensure business requirements are being met and delivered in a timely manner.
Support Production Managers and Producers to coordinate crews, equipment, resources and logistics as necessary for production
Support Production Management team with various projects, shoots, and departmental needs.
Additional duties as required to maintain an efficient and effective production environment.
Organize and track releases per project.
Procure permits for location shoots as needed.
EXPERIENCE & SKILLS REQUIRED:
Minimum of 2 years of relevant Production Management in the television, media, or digital video production realm required
College degree required
Understanding of payroll practices and labor laws.
Knowledge of physical production protocols, equipment, contracts, releases, accounting/finance practices, and business affairs requirements.
Must be computer savvy with skills in G-Suite by Google Cloud (Google Sheets), and various project management softwares.
Ideal Candidate must be highly organized, extremely detail-oriented, and efficient
Ideal Candidate should be self-starter who takes initiative.
Ideal Candidate must work well under pressure to meet deadlines.
Ideal Candidate must have professional and effective communication skills.
