About the Opportunity:
World Science is an innovative multi-media organization that produces original live and digital content straddling the arenas of science, art, media, performance, journalism and education.
The Line Producer plays a key role in the communication and coordination of information between all Festival Departments during the 2018 World Science Festival in New York. Reporting to the Festival’s Editorial Director, the Line Producer should possess strong communication and organizational skills to help ensure successful live programs.

Primary Responsibilities:
• Act as liaison between the Festival’s Editorial, Operations and Media Departments to ensure a clear line of communication between departments regarding participants and programs.
• Develop processes for, and facilitate communication among, departments regarding all aspects of Festival programming.
• Develop Editorial and Programming timelines in consultation with Editorial, Media, Production/Operations and Marketing Departments. Communicate timeline revisions to all relevant departments and individuals.
• Onboard and brief all new Editorial hires regarding processes and timelines.
• Assist Editorial Director with hiring as needed.
• Work with Program Producers and Editorial Director to track progress and deadlines for participant bookings.
• Check in regularly with travel and hospitality to ensure that all participant travel needs have been met and executed with efficiency.
• Troubleshoot participant issues with relevant departments, including communicating logistical and other details directly to participants as needed.
• Manage and supervise marketing milestone delivery from Editorial and Programming Producers, Associate Producers and PAs, including program titles and descriptions, bios, headshots and other information necessary for marketing and communications.
• With production team, coordinate annual Editorial Producer and Production/Operations staff meeting and arrange Editorial meetings as needed.
• Assist Editorial Director, Media Director and Program Producers with show flow development and provide to Production/Operations team as necessary. Coordinate meetings related to show flows with ample time to clarify or adjust.
• With Editorial and Production/Operations Departments, coordinate and communicate scheduling details including rehearsals, call and show times and participant needs, communicate any changes to participant schedules to all relevant departments, and work with all teams to resolve any scheduling conflicts.
• Create systems and track distribution and collection of participant release forms.
• Working with all departments, oversee entries into the Festival software system and Google Docs, including the 2018 Festival master document.
• With the Executive Department, determine live event program intro assignments and ensure that copy is accurate and delivered to VIP introducers.
• During the Festival, serve as on-site contact between all departments regarding last-minute changes to participant schedules and needs, including participant, Media, and Production/Operations changes.
• During the Festival, fill in as necessary for programming producers on-site. Work with Editorial and Production/Operations team to problem solve on-site issues.
• Post-Festival, create and provide wrap report and files, and oversee the collection of wrap reports from all Program Producers, Associate Producers and PAs.
The Successful Candidate:
• Must have a strong background in both media and live events as Line Producer or a similar role
• Must have experience balancing multiple schedules for concurrent large events.
• Must have the ability to manage and lead with confidence.
• Must be proficient in Google Suite applications and Microsoft Office.
• Must be highly organized and detailed oriented.
• Must be able to multi-task and work under pressure.
• Must have excellent written and verbal communication abilities.
• Must have diplomatic skills, with the ability to work with multiple teams and interdepartmentally.
