Executive Assistant to Company's President and Office Manager:
•Scheduling and managing meetings for DSS
•Arranging and preparing for travel (making sure proper documents, itinerary is correct, have a phone plan,
•chargers, adapters, proper weather clothes, etc.), travel between meetings timing and mapping, nearby lunch/coffee
•spots etc.
•Daily schedules texted in the morning
•Handling all scheduling of DSS life and work to avoid conflicts
•Managing DSS schedule to ensure his presence in all production meetings as needed and allow for best use/flexibility of time including: creative time, personal time, etc.
•Creating Top Line to-dos from all departments/projects and tracking them for DSS
•Being proactive about prepping exec for meetings, pitches, interviews, etc. incl. knowing how to prioritize)
•Coordinating and pre-dialing video/phone conference calls involving DSS
•Scheduling office conference rooms
•Answering phone and routing calls
•Greeting visitors and arranging for any snacks, etc.
•Managing Office upkeep, overall appearance and structural improvements (plants, bagel Fridays, general upkeep),ordering office supplies needs
•Coordinating the Intake/outtake of new employees (onboarding process, office policies, desk and key assignment, tech set up and Part2’s email account creation)
•Administering calls/tickets to/from 3rd party office IT administrator for resolving office tech issues and office employees tech issues.
•Creating relationships with exec assistants at networks, agency, etc.
•Outreach for exec — arranging industry meetings, drinks, appearances
•Managing award submissions
•Looking for ways to improve office communication
•Recruiting and managing office interns
•Manage/Update HR software system
•Helping with part2 social — tweets, Facebook, etc.
•Event planning from parties to lectures to screenings to office drinks, etc.
•Helping write and create mailings, bios, etc.
•Creating working relationships with all departments and support
•General “cruise director” — keeping the office a happy, fun place to work
•Managing backups for President's expenses, AMEX, etc
