Overview:
We are seeking an experienced and dynamic Executive Assistant to provide comprehensive support to an esteemed executive in the music industry. The ideal candidate will be highly organized, detail-oriented, and capable of managing multiple tasks in a fast-paced environment. This role requires exceptional communication skills, discretion, and the ability to handle sensitive information with professionalism. As the right hand to our executive, you will play a crucial role in ensuring their day-to-day operations run smoothly and efficiently. Please note that this position is on a 1-month trial basis.
Responsibilities:
Calendar Management: Coordinate and manage complex schedules, including appointments, meetings, and travel arrangements, ensuring optimal time management and efficiency.
Communication: Act as the primary point of contact for both internal and external communications, screening calls and emails, and responding or redirecting as appropriate.
Administrative Support: Provide administrative support, including drafting correspondence and maintaining filing systems.
Meeting Coordination: Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
Travel Arrangements: Arrange travel itineraries, including flights, accommodations, and transportation, ensuring cost-effectiveness and timely arrangements.
Information Management: Maintain databases, contact lists, and other confidential information, ensuring accuracy and confidentiality.
Liaison: Serve as a liaison between the executive and internal departments, external partners, clients, and stakeholders, fostering positive relationships and communication.
Special Projects: Handle special projects and assignments as delegated by the executive, demonstrating flexibility and adaptability to changing priorities.
Requirements:
Experience: Proven experience (1 year) as an executive assistant or similar role, preferably in the music or entertainment industry.
Organizational Skills: Exceptional organizational and time-management skills, with the ability to prioritize tasks and meet deadlines effectively.
Communication: Excellent verbal and written communication skills, with a professional and polished demeanor.
Discretion: High level of discretion and confidentiality when dealing with sensitive information and communications.
Technology Proficiency: Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software/tools.
Adaptability: Ability to adapt to changing priorities and work well under pressure in a fast-paced environment.
Problem-Solving: Strong problem-solving skills and resourcefulness, with the ability to anticipate needs and proactively address issues.
Team Player: Collaborative mindset with the ability to work independently as well as part of a team, fostering a positive and supportive work environment.

Responsibilities:

Problem-Solving Skills - Be prepared to handle unexpected issues during production. Offer solutions to challenges that may arise during the creative and logistical aspects of production. Be one step ahead of Showrunner. Do things before being asked to.
Requirements:
