Job Description & Responsibilities
The Freelance Events Coordinator will assist in all aspects of the production of the AICP Awards – the AICP Post Awards, The AICP Next Awards and the AICP Show, as well as the concurrent conference called AICP Base Camp. This person will report to the VP, Operations/Chief of Staff, and will coorindate directly with two staff event producers. This position is based in an office, not virtual.

Job Responsibilities:

Responsibilities
• Create and maintain databases
• Judging Period: track all RSVPs, disseminate passwords and track that all judges complete scoring – this will include sending and tracking reminders.
• Quality Control of all entries to the three Awards Shows.
• Assisting Events team with produing in-person judging sessions (including but not limited to assisting with travel, tracking attendance, creating meeting materials, and will be on-site during the meetings).
• Maintaining and Tracking speakers and modertors for Base Camp, including tracking submissions of bios, headshots, presenations and video assets.
• Performs special projects and tasks as directed.

Qualifications & Skills
• Previous experience working in an office environment.
• Previous experience with live events
• Knowledge of the following programs:
o Office 360 (Microsoft Word, Excel, Outlook, etc.)
o Zoom
o Google Suite
