We're looking for a stellar Production Coordinator/junior Production Manager for a short, branded content documentary film. The ideal candidate is a good communicator, well organized, and excited to jump into a great project with a great team.

The position is remote, but we're ideally looking for someone based in NYC; start date in late June or early July, running for 10-12 weeks.

Duties may include but are not limited to:

- Helping to coordinate shoots (US only)
- Researching travel options - flights, hotels, cars, etc.
- Working with Producer, Line Producer and team to make sure logistics are covered for each shoot
- Assisting with COVID safety planning, including test scheduling
- Helping coordinate gear rental as needed
- Helping collect receipts & invoices and enter purchase orders for approval
- Prepping daily call sheets, organizing paperwork & releases

Our team will be filming the event to produce stock footage style archival content and post-produce a Highlight Sizzle along with additional marketing content. You will be working to help manage logistics for a crew of 12-15.

Applicant should be capable of facilitating great communication and a seamless workflow between the Event Producer, Creative Producer, Lead Editor and crew. You will need to manage production documents via our shared google drive and revise/deliver production schedules, post-production schedules, short briefs for crew (text/email) and call sheets. PC will also need to order team lunches and coordinate pick-ups/drop offs with our driver.

Teams will be on a 12hr day but likely wrap in 8-10. There will be plenty of breaks and downtime.

What You'll Do

Work closely with your discipline supervisors in crewing, casting and scheduling your discipline's body of work, keeping in mind the overall show schedule, client reviews, bids, and other discipline needs.
Establish a process for communicating discipline targets, assignments, and priorities to your artist crew, as well as the overall show crew. This should be daily and/or weekly.
Schedule, track, and manage assigned work within the ILM Internal Tracking Tool as well working with Production Managers to display the information in a physical form (magnet boards / conference rooms) in order to be visible to the team.
Ensure work is on schedule for each department and is meeting internal and external (client) deadlines. Check in with artists on a regular basis regarding workload, targets, needs, etc
Set up turnovers with discipline crew. Communicate turnover information to all artists assigned to asset(s) or shot(s).
Track client needs, reviews and deliveries to make sure your discipline hits their targets.

Must be extremely proficient in administrative tasks and on a PC - Microsoft Excel, Outlook, Word and OneDrive are musts.
