Looking for an experienced Production Coordinator for a competition style series beginning pre-pro in early August. Prep for show will be remote, however Production Coordinator will be required to be on set during filming in September and October. Candidates ideally will have experience working on stage productions [competition style series a plus]. Looking for applicants who are detail-oriented; highly organized; work efficiently and in a timely manner; and possess excellent communication skills with a can do attitude. Candidates MUST be based in NYC.

Responsibilities include, but are not limited to the following:

-Assist PM with day to day studio needs (for example: crew crafty and meals; overseeing talent green room areas; distributing call sheets & signage: ordering/replenishing PPE, etc)
-Assist Talent Manager and Coordinator with any cast/talent needs on set
-Manage team of PA's and work with PA's to help facilitate various department/cast/talent set needs during filming days
-Work with associate to ensure all corporate cards / petty cash / PO's / reimbursements are reconciled in a timely manner

Our team will be filming the event to produce stock footage style archival content and post-produce a Highlight Sizzle along with additional marketing content. You will be working to help manage logistics for a crew of 12-15.

Applicant should be capable of facilitating great communication and a seamless workflow between the Event Producer, Creative Producer, Lead Editor and crew. You will need to manage production documents via our shared google drive and revise/deliver production schedules, post-production schedules, short briefs for crew (text/email) and call sheets. PC will also need to order team lunches and coordinate pick-ups/drop offs with our driver.

Teams will be on a 12hr day but likely wrap in 8-10. There will be plenty of breaks and downtime.

The Production Coordinator's primary emphasis is on scheduling, communication and coordination for a specific group (discipline) of artists (or multiple groups) on any given project. What You'll Do

Work closely with your discipline supervisors in crewing, casting and scheduling your discipline's body of work, keeping in mind the overall show schedule, client reviews, bids, and other discipline needs.
Establish a process for communicating discipline targets, assignments, and priorities to your artist crew, as well as the overall show crew. This should be daily and/or weekly.
Schedule, track, and manage assigned work within the ILM Internal Tracking Tool as well working with Production Managers to display the information in a physical form (magnet boards / conference rooms) in order to be visible to the team.
Ensure work is on schedule for each department and is meeting internal and external (client) deadlines. Check in with artists on a regular basis regarding workload, targets, needs, etc
Set up turnovers with discipline crew. Communicate turnover information to all artists assigned to asset(s) or shot(s).
Track client needs, reviews and deliveries to make sure your discipline hits their targets.
Serve as key communication liaison *** ween all parties relevant to your work. Provide updates, priorities, reschedules, and status of all shots at any given moment.

DUTIES:

Administer weekly Production Dept. staff and facilities scheduling. Includes scheduling IATSE Stagecraft, Director, AD and Material Management staff. Update schedules daily as required and digitally generate and post via Microsoft Teams.

Administer production staff scheduling on Special Event productions including Rose Parade, Oscars, Emmys, CCA, LA Marathon, WeHo Pride Parade, Telethons and more.
Organize and update Production Dept. financial retention files including all vendor invoices and P-Card transactions.

Process COI and Insurance Endorsement requests from Production Dept. vendors and business partners.

Onboard new hires. Provide instruction on Workday and Microsoft Teams, assist with Human Resources paperwork, coordinate Employee ID, Microsoft login, Security badge, etc.

Special Events production archives. Document and organize digital video assets for Rose Parade, Oscars, CCA, Emmys, LA Marathon, WeHo Pride Parade, and other Special Event productions.

Production studio operations and office supplies inventory. Track inventory and order studio production operations and maintenance supplies monthly. Manage shipping and receiving logistics.

Supervise all aspects of daily Makeup services and operations. Supervise News anchor makeup services schedule. Monitor News anchor cosmetics inventory, and generate weekly orders and deliveries as required.

Provide daily administrative support as required to the Production Manager and Director of Production.

REQUIREMENTS:

Bachelor's degree in film, television, communications, marketing, management, or related field
Must have experience in live television, scheduling, production, or related field, preferably Production Coordinator experience.
Internship experience at television stations or production companies are an asset.
Must be extremely proficient in administrative tasks and on a PC - Microsoft Excel, Outlook, Word and OneDrive are musts.
Ability to multitask in a fast-paced work environment. Attention to detail and ability to rapidly prioritize daily tasks and administrative responsibilities.
Familiarity with all aspects of studio and remote production operations, and effective and concise communication.
Superb organizational and time management skills.
Capable of meeting deadlines and working with daily time constraints
Engage with employees and clients in a positive and collaborative manner.
